The situation

An NHS-affiliated organisation was refreshing clinical workstations and mobile devices across eight sites. The estate had grown unevenly over several years, so the equipment coming out ranged from relatively recent laptops to fixed workstations well past their supported life, alongside tablets used at the bedside. Every category had to be treated as holding patient data until proven otherwise.

The constraint clinical settings impose

Clinical environments do not stop for an IT project. Devices could only be removed once their replacements were installed and verified, which meant collection had to follow deployment site by site rather than running as a single clearance. Some equipment sat in areas with restricted access, and in several cases the window for removal was a matter of hours rather than days. Phasing was not a preference here; it was the only workable shape for the project.

Why erasure happened on site

For the highest-risk assets the organisation's information governance team wanted data destroyed before anything left the building. We deployed mobile teams to perform certified erasure on site, so those devices were sanitised while still under the client's physical control and transit risk was removed from the equation entirely. Lower-risk assets were sealed and moved to our facility under GPS-tracked transport for processing, which kept the on-site time — and therefore the clinical disruption — proportionate to the actual risk.

Peripherals nobody had counted

The initial asset list covered workstations, laptops, and tablets. The site survey found multifunction printers with internal storage that had been retaining scanned documents, along with a quantity of external drives and USB media accumulated in departmental cupboards. None of it had appeared on any register. Treating devices with embedded memory as data-bearing by default rather than assuming they were clean is what surfaced this, and it is consistently where in-house disposal processes leak.

Reuse as the default outcome

Sixty-eight per cent of collected devices were viable for a second life after testing and grading. Because most of a device's lifetime carbon cost is incurred during manufacture, keeping those units in service delivered considerably more environmental benefit than recycling them would have, and the sustainability team received figures that separated genuine reuse from material recovery rather than presenting a single blended number.

The outcome

The programme completed with zero data incidents across all eight sites. The organisation received chain-of-custody documentation covering every movement, certificate evidence for every data-bearing asset including the peripherals discovered during survey, and reuse and diversion metrics that fed directly into sustainability reporting without needing to be reworked.
